Privacy Policy

This Privacy Policy explains how Engagemii, LLC ("Engagemii," "we," "us," or "our") collects, uses, discloses, and protects information when you use our platform. Engagemii is an Answer Engine Optimization (AEO) and AI-visibility platform for businesses: we score how visible websites are to AI answer engines, generate optimization fix kits, monitor AI-crawler activity, and license datasets of company information compiled from publicly accessible web sources. By using the Service, you agree to the practices described here. The Service is intended for businesses and the professionals who represent them, and is available only to individuals who are at least 18 years old.

1. Information We Collect

1.1 Information You Provide Directly

• Account Information: Name, business or brand name, email address, and password (hashed) when you register for a brand account, an agency or data account, or a portal login.
• Website URLs You Submit: The website addresses you enter for an AEO score, audit, or fix kit. We fetch publicly accessible content from those sites solely to produce your results.
• Payment Information: Card and billing details, processed exclusively by our payment processor (Stripe). Engagemii never stores raw card numbers.
• Consent & Acknowledgment Records: When you purchase a paid product, we record that you acknowledged the applicable disclaimers at checkout.
• Communications: Messages you send us for support, sales, or data-license inquiries.

1.2 Information We Collect Automatically

• Usage Data: Pages visited, features used, time spent, and actions taken on our site and in the portals.
• Device & Technical Data: IP address, browser type, operating system, and referring URLs.
• Cookies & Tracking Technologies: Used to authenticate sessions, remember preferences, and, with consent, analyze usage.

1.3 Information From Third Parties

• Sign-In Providers: If you sign in via Google, we receive basic profile information such as your name and email.
• Payment Processor: Stripe provides us transaction status and limited billing metadata to fulfill and support your purchases.

2. How We Use Your Information

• Operate the AEO platform: generate scores and audits, build and deliver fix kits, run AI-crawler monitoring, and serve the brand, agency, and data portals.
• Create and manage your account and provide customer support.
• Process payments and manage subscriptions through Stripe.
• Send transactional emails (reports, download links, monitoring reports, receipts) and, where you opt in, product updates.
• Analyze usage to improve features, accuracy, and performance.
• Detect and prevent fraud, abuse, and violations of our Terms.
• Meet regulatory obligations and enforce our Terms.

3. How We Share Your Information

We do not sell your personal information. We may share it with: service providers who operate the platform on our behalf (cloud hosting, our payment processor, AI processing, and email delivery); legal authorities when required by law; and a successor in the event of a merger, acquisition, or asset sale. Any such party is bound to use the information only to provide services to us.

4. AEO & Data Products: What We Collect and How We Use It

When you use Engagemii AEO products (a free score, PDF report, fix kit, or AI-crawler monitoring) we collect and process:

• Website URL: The URL you submit. We fetch publicly accessible content (homepage, robots.txt, sitemap.xml, llms.txt, about page) to generate your audit and fix files, and we retain what is needed to produce, deliver, and support your results. Crawler-activity data from the tracker is described in Section 4.3.
• Email Address: Used to send your report, download link, and monitoring emails. We do not sell or share your email with third parties.
• Payment Information: Processed exclusively by Stripe. Stripe's Privacy Policy applies to payment processing.
• Legacy Monitoring Data: If you subscribed to AI citation monitoring before September 2, 2026, we retain the weekly query results collected during your subscription (which AI engines referenced your brand), used only to support your historical reports.

4.1 The Engagemii Dataset

Engagemii compiles and licenses datasets of company and website information (such as company name, domain, AI-visibility scores, industry, technology signals, and geography) built from our own crawling and analysis of publicly accessible websites and from openly licensed public data sources. These datasets do not include personal email addresses or personal phone numbers, and we do not sell that contact information. Attribution for openly licensed sources appears in our licensing notice.

4.2 Public Brand Score Pages

Engagemii publishes automated AI-visibility scores for publicly listed businesses based solely on publicly accessible website signals. This is an independent third-party assessment, not a data-processing relationship with the business. If your business is listed and you wish to have it removed, email [email protected] with the subject "Remove my site."

4.3 AI Crawler Tracker Data

If you install the Engagemii tracker (or connect the WordPress plugin or another integration), we collect records of automated agents visiting your site: bot name, visit timestamps, visited page paths, per-day counts, and the IP address the request came from. We use that IP address only to confirm a bot is genuine by checking it against the crawler operator's own published address ranges, we hold it for at most 24 hours to do so, and we never include it in your dashboard or in any data product. The tracker is designed to record bot activity only, not data about your human visitors. We show this data to you in your dashboard, and we license it as part of Engagemii's data products, both in aggregated or anonymized form and, unless you opt out in your portal settings, in a form identified by your domain. See our Terms of Service, Section 8a.

4.4 AEO Data Retention

AEO audit records (URL, email, score, report token) are retained for up to 2 years. Data from legacy citation-monitoring subscriptions (purchased before September 2, 2026) is retained for the duration of the subscription plus 1 year. You may request deletion of your AEO data by emailing [email protected].

5. Data Retention

We retain personal information for as long as your account is active and as needed to provide the Service. Account data: up to 3 years after deletion. AEO audit records: up to 2 years. Transaction records: up to 7 years for tax and compliance purposes. Aggregated, de-identified analytics may be retained indefinitely.

6. Cookies & Tracking Technologies

We use the following types of cookies:

• Essential cookies: Required for authentication and core site functionality. These are always active.
• Analytics cookies (Google Analytics): Help us understand how visitors use our site. These are only loaded after you give explicit consent via the cookie banner. If you decline, no analytics cookies are set.
• Preference cookies: Remember settings like your cookie consent choice (stored in your browser's localStorage).

You can change your consent at any time by clearing your browser's localStorage for engagemii.com and reloading the page. You can also block all cookies in your browser settings.

7. Data Security

We implement HTTPS/TLS encryption, hashed password storage, access controls, and secure token management. No system is completely secure. In the event of a data breach, we will notify affected users as required by law.

8. Your Rights & Choices

• Access & Correction: Review and update account information in your portal settings.
• Account Deletion: Email [email protected]. We process requests within 30 days.
• Marketing Opt-Out: Unsubscribe via any email link or by contacting us.
• California Residents (CCPA/CPRA): Rights to know, delete, correct, and opt out of the sale of personal information. We do not sell personal information. Contact us to exercise these rights.
• Other State Privacy Rights: Residents of Virginia, Colorado, Connecticut, and other states with privacy laws may have similar rights.

8a. EU / UK Residents: GDPR Rights

If you are located in the European Union, European Economic Area, or United Kingdom, the General Data Protection Regulation (GDPR) or UK GDPR applies to our processing of your personal data. You have the following rights:

• Right of Access: Request a copy of the personal data we hold about you.
• Right to Rectification: Request correction of inaccurate or incomplete data.
• Right to Erasure ("right to be forgotten"): Request deletion of your personal data where we have no lawful basis to retain it.
• Right to Restriction: Request that we limit how we use your data in certain circumstances.
• Right to Data Portability: Receive your data in a structured, machine-readable format.
• Right to Object: Object to processing based on legitimate interests, including profiling.
• Right to Withdraw Consent: Where processing is based on consent (e.g. analytics cookies), withdraw it at any time without affecting the lawfulness of prior processing.

Legal basis for processing: We process personal data on the following bases: performance of a contract (account and service delivery); legitimate interests (fraud prevention, service improvement); consent (analytics cookies); and legal obligation.

Data transfers: Engagemii is based in the United States. If you are in the EU/EEA/UK, your data may be transferred to and processed in the US. We rely on Standard Contractual Clauses and other appropriate safeguards where required.

Right to lodge a complaint: You have the right to lodge a complaint with your local data protection authority. A list of EU supervisory authorities is available at edpb.europa.eu. UK residents may contact the ICO at ico.org.uk.

9. Children's Privacy

The Service is a business tool intended for users 18 years or older. We do not knowingly collect information from anyone under 18. If you believe a minor has an account, contact us at [email protected].

10. Third-Party Links & Services

The Service may contain links to third-party websites. This Privacy Policy does not apply to those third parties. Review their privacy policies independently.

11. Changes to This Policy

We may update this Policy from time to time. We will notify you of material changes by posting a notice on the Service or by email. Continued use constitutes acceptance.
